Policies and Procedures for Administration of the Award
Award Description
The Janice Graham Newkirk Research Award provides funding for members of
ENY/ACRL to pursue research on any aspect of library technology,
reference service, or bibliographic instruction. A monetary award will
be made annually, with the amount of the award based on the growth of the
fund. The minimum amount will be $350. The award can be used to
finance travel or research costs, including such things as hiring a research
assistant, the purchase of computer hardware, software, or supplies needed to
carry out the research project, or the cost of conference attendance.
Recipients will be selected on the basis of a well-defined proposal and how
well the project fits one of the topic areas.
The award, established in 1995, is named for the late Janice Graham Newkirk,
former ENY/ACRL Executive Board member, and CD-ROM Coordinator and Reference
Librarian at the University at Albany. The fund is supported by a
start-up donation from ENY/ACRL, the Newkirk and Graham families, and other
private contributions.
Administration of the Selection Process
Eligibility: Current members of the chapter are eligible, with
the following exceptions: members of the Newkirk Award Committee, the
incumbent President of the Chapter, and the Treasurer (who is a member, ex
officio, of the Award Committee) are ineligible.
Administration of the award selection process is handled by a standing
committee of ENY/ACRL consisting of four members of the organization,
appointed by the Executive Board for renewable two-year terms. The
incumbent Treasurer serves as one of the four members, but is non-voting.
The call for applications will be in the Spring ENY/ACRL Newsletter, and will
be continually posted on the chapter website. The deadline for
applications is September 1. The Award Committee will review
applications and select a recipient or recipients no later than October 1.
The award will be presented at the Fall conference, unless that conference is
set for a date before October 1. If no applications are received
by September 1, a second call for applications will be announced with a
deadline of March 1. If an awardee is selected in that round, the
award will be presented at the Spring conference. The Award Committee is
responsible for notifying the Executive Board of the recipient’s name,
institutional affiliation, and a brief project description. The
President of the Chapter will notify the awardee of his/her award and
invite him/her to attend the conference at which the award will be presented.
Following notification of the awardee, one of the committee co-chairs will
provide the Newsletter editor a notice about the award recipient and the
awarded project. The Committee Chair(s) will write a letter to the
Newkirk family each year, informing them of the award recipient and the
research project funded.
Awardee’s Responsibilities
Award recipients are responsible for carrying out the project as proposed,
and are given one year from the date of the award to complete the funded
project, or to provide evidence of significant progress. Recipients are
required to submit a written report to the Award Committee within three months
following the completion of the award year. The report, or an abstract
of it, will be published in the newsletter.
Fund Administration
The research funds are deposited in a certificate of deposit (CD).
Awards will be funded from the interest earned on the CD. The Treasurer
of ENY/ACRL will be authorized to make deposits and write checks from the
fund. The Treasurer will provide the Executive Board with a financial
report on the fund annually.
